Assistant Director, Development Operations - University of California, Berkeley (Berkeley, CA)

The Department of Intercollegiate Athletics consists of more than 275 staff members and coaches and sponsors 30 varsity sports programs.  These 30 programs include more than 850 student-athletes who participate in the various sports programs annually within the National Collegiate Athletics Association (NCAA).  We are currently seeking an Assistant Director, Development Operations who will work within the department’s Development unit.

Description of Position: 

The Cal Athletics Fund is the fundraising and alumni relations arm of UC Berkeley’s Intercollegiate Athletics Department.  The Assistant Director, Development Operations is a key member of the development operations team within the Cal Athletics Fund and helps to manage and execute the unit’s communication projects.  This position oversees the complex gift acknowledgment process and ensures that Cal Athletics advancement messaging is strategically timed, cleanly edited, and consistently aligned with the mission of the Department.  The Assistant Director assists with the development and implementation of programs, events, and/or communication strategies designed to thank donors and inform external constituencies of institutional programs, activities, policies and practices.  This position also supports the efforts of their development operations colleagues; including events, stewardship, and communication.

Responsibilities:

  • Designs strategy and oversees the implementation and execution of the complex gift acknowledgement process.
  • Prepares written and visual materials (donor proposals, web content, reports, email content, event invites, acknowledgement letters, etc.) on behalf of fundraisers, leadership staff and the Athletic Director.
  • Supports the Development office’s external communications program and helps ensure information on all platforms (web, email, direct mail, social, etc.) is consistent with the mission, representative of the Cal Athletics brand, well organized and cleanly written, edited, and proofread.
  • Helps to maintain the Cal Athletics Fund web presence for fundraising, reporting, as well as alumni and donor engagement.
  • Assists with planning and executing Cal alumni and donor engagement and fundraising events.
  • Responds to constituent inquiries and produces financial and impact reports upon request.
  • Learns to use departmental database, prepare reports and perform analysis.  Maintains system for tracking external acknowledgment and communications in CRM systems. 

Required Qualifications:  

  • Bachelor’s degree in related area and/or equivalent experience/training.
  • Experience in a development office or non-profit setting.
  • Excellent writing, editing and proofreading skills.  Proven oral skills.
  • Highly developed interpersonal communication skills.
  • Skills and experience in project management, including event planning.
  • Strong analytical skills, service orientation, attention to detail, time management, ability to multi-task in a high volume environment, organizational skills; ability to develop original ideas to solve problems.
  • Thorough knowledge of basic concepts, principles, and procedures of building and maintaining effective relations with internal and external constituencies.
  • Must be proficient in use of Microsoft Office and common desktop/web applications.

Preferred Qualifications:

  • Experience with the development operations of Intercollegiate Athletics.
  • Previous experience in a college athletics development office.
  • Knowledge and understanding of applicable NCAA and Pac-12 Conference rules and regulations.

Annual Giving & Alumni Relations Coordinator - University of California, Berkeley (Berkeley, CA)

The Department of Intercollegiate Athletics consists of more than 275 staff members and coaches and sponsors 30 varsity sports programs.  These 30 programs include more than 850 student-athletes who participate in the various sports programs annually within the National Collegiate Athletics Association (NCAA).  We are currently seeking an Annual Giving & Alumni Relations Coordinator.

Responsibilities:

Cal Athletics operates a broad -based and comprehensive fundraising strategy that spans 30 sports programs. Each program has a custom fundraising strategy, and requires dedicated support to execute these initiatives. The Annual Giving & Alumni Relations Coordinator directly supports all aspects of fundraising efforts for the Annual Giving & Alumni Relations Team and will learn to implement specific activities for fundraising and alumni relations programs. 

Responsibilities include:

  • Identify and manage a portfolio of at least 100 to 125 annual fund prospects which includes primarily individuals with specific affiliation and/or giving interest to Cal Athletics.
  • Cultivate, Solicit and Steward Annual Fund Donors
  • Complete 10 substantive contacts per month with an emphasis on quality personal visits. 
  • Acts as a liaison to specific sports to provide alumni relations services to designated friends groups and constituents. 
  • Contributing to the development of strategy by making informed suggestions for specific fundraising initiatives based on this information.
  • Prepare materials for sport specific fundraising activities and/or assist in promotional efforts such as writing, speaking, telephoning, et cetera, as required.
  • Ensures that predetermined fundraising goals are met, by providing strategy, analyzing progress throughout the year, and working with stakeholders to increase outreach. 
  • Provides programmatic support and assists the Assistant Athletics Director, Development and University Development and Alumni Relations (UDAR) partners in developing and executing mass solicitation strategies in support of annual initiatives for Cal Athletics.

Required Qualifications:

  • Bachelor’s Degree.
  • Proven written and oral skills. Highly developed interpersonal communication skills.
  • Impeccable time management skills and meticulous attention to detail.
  • Knowledge of Microsoft Office, particularly with Excel and Word.

Preferred Qualifications:

  • Experience with the internal operations of Intercollegiate Athletics.
  • Experience in a Development Office or Non-Profit setting.
  • Exposure to project management.
  • Knowledge and understanding of applicable NCAA and Pac-12 Conference rules and regulations.
