Facility Operations Manager - University of California, Berkeley (Berkeley, CA)
The Department of Intercollegiate Athletics consists of more than 275 staff members and coaches and sponsors 30 varsity sports programs. These 30 programs include more than 850 student-athletes who participate in the various sports programs annually within the National Collegiate Athletics Association (NCAA). We are currently seeking a Facilities Operations Manager who will work within the department’s Facilities and Risk Management units.
Description of Position: This position is designed to support the overall operations of the Athletics Facilities unit, which is responsible for managing 16 facilities throughout Campus, as well the Department’s Risk Management unit. The incumbent will use skills in Facility Management to proactively participate in regular upkeep of Athletics facilities, assist with setting priorities for Facilities staff, keep facilities secure and safe, maintain and keep track of Facilities inventory, maintain proper controls around facilities access and provide access as necessary, and advises senior staff on current facilities and risk management issues that are concerns for the Department.
Responsible for continual monitoring for upkeep and maintenance of Athletics facilities (16 in total, including building, fields, courts, and pools. Conducts regular periodic rounds to inspect areas for security, fire and accident hazards and takes appropriate action as required, including reporting infractions of fire and building codes, building rules and other building irregularities to management.
Coordinates, monitors and tracks all maintenance, custodial, grounds, and other service requests by Physical Plant Campus Services as well as other outside vendors or organizations for assigned facilities, including tracking completion of maintenance work and the ongoing status of individual service requests.
This position will maintain the Department’s facility work order system, and be the process development lead, communications center, and dispatcher for trades and professional staff by managing Athletics to work on, repair, or maintain Athletics facilities.
Coordinates maintenance and repair of departmental fleet vehicles and equipment and oversee management and tracking for all Department owned golf carts and vehicles, including insurance, registration, smog checks, etc.
Acts as department equipment custodian through the Berkeley Equipment Tracking (BET) system and conducts department inventory controls, including processing and maintaining records of equipment insurance requests.
Serves as the Department’s main point of contact with Campus’ Risk Management Office. Coordinates with multiple units throughout campus to provide a safe and secure facilities environment.
Liaise with appropriate department staff and UCPD for all security and access matters regarding Athletics’ facilities. Maintain facility alarms and security codes. Responsible for installation, maintenance, and review of all security cameras.
Develop and maintain access control groups. Using the online submission system, receive and process all key and access card requests with UCPD.
Oversee department fuel card program and ensure proper protocols are being followed and are in compliance with University and State regulations.
Facilitate, track, and document the signing of waivers for all 3rd party entities that come onto Campus. Work closely with Scheduling, Event Management, Cal Catering, and other Campus units to ensure they are obtaining waivers where necessary.
In conjunction with Campus Risk Management handle all insurance claims for incidents that occur on campus with vendors or guests.
Bachelors degree in related area and/or equivalent experience/training
Working knowledge of practices and procedures relating to facility maintenance.
Working knowledge of practices and procedures of safety and emergency preparedness.
Skills to work under pressure of deadlines in a stressful environment.
Working organizational skills to work on multiple projects with competing deadlines, to establish goals and work load priorities, and to meet project deadlines within budget and time constraints.

Current knowledge of applicable rules and standards of the Pacific-12 Conference, the National Collegiate Athletic Association (NCAA), as well as other associations and agencies to which the Berkeley campus of the University of California adheres, and, at all times avoid any and all violations of these rules and standards.
Experience working at a large university (particularly in Division 1) with a large quantity of sports and highly-rated, world-class facilities.
